Gift Administration Executive
Job Description
Our Client is seeking a detail-oriented and organized Gift Administration & Data Management Executive to support the School's fundraising and donor engagement activities. The Ideal candidate will be responsible for gift processing, donor database management, reporting, digital content updates, and administrative support to ensure the smooth and efficient operation of fundraising activities.
Key Responsibilities
- Process gifts in accordance with standardized guidelines, including updating and tracking gifts received, maintaining gift documentation and updating donor records.
- Prepare first-level drafts of agreements using templates, obtain the necessary approvals, and monitor gifts closely to ensure timely closure.
- Closely track and monitor gifts throughout the various stages of approval, and update trackers promptly to prevent delays in gift closure..
- Uphold data hygiene standards and generate routine reports and dashboards for stakeholders.
- Support process improvements to enhance operational efficiency and data integrity.
- Collaborate with designers and vendors to improve user experience and conversion.
- Apply basic content and design best practices to support fundraising goals.
- Provide support for the planning and execution of fundraising campaigns, including budget and expense tracking, vendor coordination, and simple collateral design.
- Handle procurement and the processing of invoices.
- Maintain donor records in the database, including recording and compiling changes to donors’ mailing and email addresses to ensure an up-to-date contact database.
- Perform office management duties such as printing and scanning documents, handling mail and courier services for documents and books, and carrying out other ad hoc duties to support the smooth operation of the Department.
Ideal Experience / Attributes:
- Minimum of 2 years experience in administration, fundraising operations, donor relations, CRM/database management, or similar support functions.
- Diploma or Degree in Business Administration, Communications, Marketing, Non-Profit Management, or a related field.
- Fresh Graduates are welcome.
- Experience using CRM systems.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) Adobe Acrobat.
- Basic understanding of web content management and/or simple design tools.
