Working Hours: 9am to 6pm

About the Role
We are seeking a responsible and organised Secretary (Admin & Maintenance) to provide comprehensive administrative and secretarial support to the Chief Executive Officer (CEO), and to oversee general office administration and facilities coordination.

The incumbent will assist in coordinating assigned business activities and follow up on project statuses with functional managers and supervisors to ensure smooth operations.

Key Duties and Responsibilities

  • Manage and maintain the CEO’s calendar, appointments, and daily schedule

  • Screen incoming calls and correspondence for the CEO

  • Organise and coordinate monthly management and departmental meetings

  • Prepare reports, presentations, and meeting materials as required

  • Arrange travel, transport, and business reservations for the CEO

  • Liaise with outsourced IT vendors on internet connectivity and IT equipment matters

  • Coordinate procurement of IT equipment and office devices

  • Oversee maintenance of CCTV and office security systems

  • Coordinate monthly pest control services

  • Manage courier services (e.g., FedEx, DHL)

  • Oversee procurement of office stationery and pantry supplies

  • Manage printing of business cards

  • Administer security access cards for employees

  • Arrange annual fire extinguisher inspections

  • Manage meeting room bookings and ensure meeting facilities are properly maintained

  • Set up video conferencing equipment when required

  • Coordinate company events, festive celebrations, and customer gift arrangements

  • Coordinate purchase of office furniture when required

  • Oversee maintenance of office equipment (TV, sound system, photocopiers, pantry appliances)

  • Coordinate air-conditioning servicing and utility matters

  • Manage corporate mobile phones issued to sales staff and plan renewals

  • Perform ad-hoc duties and projects as assigned by the CEO

Requirements

  • Diploma or equivalent qualification in Business Administration or related discipline

  • At least 2–3 years of relevant experience in secretarial or administrative support

  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint)
