Operations Coordinator (Marine Service)

Key Responsibilities

1️⃣ Service Job Coordination

• Plan and schedule service engineers for onboard and workshop jobs

• Track job progress, attendance, and completion status

• Liaise with customers, superintendents, and internal teams on job updates

• Prepare job folders, service checklists, and required documentation

• Monitor service reports submission and filing

2️⃣ Spare Parts & Logistics Coordination

• Coordinate spare parts preparation for service jobs

• Work with warehouse to ensure parts availability and timely delivery

• Track parts usage and update job records

• Arrange logistics for tools, equipment, and urgent shipments

3️⃣ Workshop Operations Support

• Coordinate workshop job queue and priorities

• Track repair progress and completion timelines

• Ensure tools and equipment calibration records are updated

• Support procurement requests for urgent operational needs

4️⃣ Documentation & Reporting

• Prepare and maintain organized records of service reports, job orders, and delivery notes

• Update internal job tracking system or spreadsheet

• Prepare simple weekly operational status report

• Support invoicing process by ensuring job completion documents are complete

5️⃣ Communication & Compliance

• Act as communication bridge between office, workshop, and site teams

• Ensure compliance with company procedures and safety requirements

• Flag operational issues, delays, or risks to management promptly

Authority

• Coordinate scheduling and operational arrangements

• Request resources required for job execution

• Escalate operational conflicts or delays to management

Key Performance Indicators (KPIs)

• On-time job coordination and completion support

• Accuracy of operational records and documentation

• Response time to internal and customer coordination needs

• Minimal operational delays due to coordination gaps

Preferred Profile

• Experience in marine, engineering, or technical service environment

• Strong coordination and communication skills

• Organized, detail-oriented, and proactive

• Able to manage multiple jobs simultaneously

• Class 3 driving license preferred
