Administrative Executive / Admin Assistant

Ltd. is a Singapore-based management consultancy specialising in internationally recognised certification frameworks, including ISO 9001, ISO 14001, ISO 45001, ISO 27001, SOC 2 Type 2, HACCP, GGBS, the Cyber Trust Mark (CTM), and bizSAFE. We work closely with businesses across Singapore to help them achieve and maintain compliance, strengthen governance, and build operational excellence.

As we continue to grow, we are looking for a proactive and organised individual to join our team as an Administrative Executive / Admin Assistant.

What You Will Do

You will be the operational backbone of the business — keeping our scheduling, client communications, and documentation running smoothly so that our consultants can focus on delivering results.

Day-to-Day Responsibilities:

  • Appointment Scheduling — Coordinate and book meetings, site visits, and audit sessions between consultants and clients; manage calendars and send timely confirmations
  • Client Reminders — Track and follow up with clients on upcoming annual surveillance audits, certificate renewals, and key milestone deadlines
  • Document Preparation — Assist in preparing and formatting consultancy documents, reports, templates, and compliance records under the guidance of management
  • Quotations & Invoices — Draft, issue, and track quotations and invoices; liaise with clients on payment status and outstanding matters
  • Client Communication — Handle general email and phone enquiries professionally; maintain a positive first point of contact for clients
  • Record Keeping — Maintain and update client databases, project trackers, and filing systems (digital and physical)
  • Ad-Hoc Tasks — Support management and consultants with any other operational or business-related tasks as required

Who We Are Looking For

Minimum Requirements:

  • Minimum GCE 'O' Level or equivalent qualification
  • Proficient in Microsoft Office (Word, Excel, Outlook); basic knowledge of Excel is a plus
  • Good command of English (written and spoken); Mandarin is an advantage for liaising with Chinese-speaking clients
  • Organised, detail-oriented, and able to manage multiple tasks with deadlines
  • A team player with a positive, can-do attitude

Nice to Have (Not Required):

  • Prior administrative, coordination, or office support experience
  • Familiarity with ISO standards, auditing cycles, or the professional services / consultancy industry
  • Experience handling invoicing or basic bookkeeping

Salary Range

SGD 2,000 – SGD 3,000 / month
