Job Description

Job Summary

We are looking for a responsible and detail-oriented Admin & HR Executive to support the daily administration and human resource operations of the company. The successful candidate will be responsible for work pass administration, payroll attendance records, employee documentation, insurance coordination, dormitory management, and general office administration to ensure compliance with Singapore regulations and smooth company operations.

Key Responsibilities

Human Resource Administration

  • Handle Work Pass applications, renewals, cancellations, and related MOM submissions.
  • Monitor expiry dates of Work Passes, passports, medical examinations, and training certificates.
  • Maintain employee records, personal files, and HR documentation.
  • Coordinate employee onboarding and offboarding processes.
  • Prepare employment contracts, confirmation letters, warning letters, and other HR documents.
  • Manage employee leave records, attendance, and payroll supporting documents.
  • Coordinate staff medical check-ups and insurance matters.
  • Assist in recruitment activities including job postings, interview arrangements, and candidate screening.

Payroll & Attendance Management

  • Monitor daily attendance and OT submissions.
  • Verify attendance records and ensure timely submission for payroll processing.
  • Follow up with department heads regarding missing attendance or OT records.
  • Prepare monthly payroll supporting reports for Accounts Department.
  • Ensure payroll records are accurate and compliant with company policies.

Work Pass & MOM Compliance

  • Liaise with MOM regarding work pass matters.
  • Ensure compliance with Employment Act, MOM regulations, and company policies.
  • Monitor foreign worker quotas, levy matters, and permit validity.
  • Handle Work Injury Compensation (WICA) and insurance-related administration when required.

Dormitory & Employee Welfare

  • Coordinate dormitory allocation, check-in, and check-out arrangements.
  • Maintain dormitory records and occupancy status.
  • Handle transportation and accommodation arrangements for foreign workers when necessary.
  • Assist employees with administrative matters relating to accommodation and welfare.

Insurance & Licensing

  • Coordinate company insurance renewals including:Work Injury Compensation Insurance (WICA)Medical InsurancePublic Liability InsuranceOther company insurance policies
  • Monitor insurance expiry dates and renewal schedules.
  • Assist with company licence and certification renewals.

General Administration

  • Manage office administration and filing systems.
  • Maintain company records, licences, and statutory documents.
  • Coordinate office supplies and equipment.
  • Prepare reports required by Management.
  • Support company meetings and administrative projects.
  • Perform other duties assigned by Management.

Requirements

Education

  • Diploma or Degree in Human Resource Management, Business Administration, or related discipline.

Experience

  • Minimum 2 years of HR and administrative experience.
  • Experience handling MOM Work Pass applications and renewals preferred.
  • Experience in payroll administration will be an advantage.
  • Experience in construction, engineering, manufacturing, or lift industry is preferred.

Skills & Competencies

  • Good knowledge of Singapore Employment Act and MOM regulations.
  • Familiar with CPF, payroll, leave administration, and HR documentation.
  • Strong organizational and multitasking skills.
  • Good communication and interpersonal skills.
  • Detail-oriented with strong follow-up ability.
  • Able to work independently with minimal supervision.
  • Proficient in Microsoft Office (Excel, Word, Outlook).
  • Experience with HRMS systems (e.g., Info-Tech) is an advantage.
