Job Summary
We are seeking a dependable and proactive Senior Office Executive/ Manager to join our dynamic team. In this role, you are responsible for overseeing daily office maintenance, administration (HR & Accounts) and operational support to ensure smooth business functions and compliance with employment regulations.
Responsibilities
- Oversee daily office operations, store activities, scheduling, and workflow coordination with the outfield operations team to maintain efficiency
- Monitor office upkeep, oversee supplies, equipment servicing, and general administrative functions to support operational continuity
- Assist with operational and administrative duties to ensure business continuity during peak periods or staff absence
- Identify and implement process improvements to enhance operational efficiency and reduce costs
- Review monthly payroll submissions, attendance records, and claims to ensure accuracy and compliance
- Manage payroll processing for office staff, ensuring timely and accurate salary disbursement
- Ensure compliance with Singapore employment regulations, Progressive Wage Model (PWM), and statutory requirements in HR and payroll processes
- Manage work pass applications and renewals to maintain legal workforce status
- Oversee scheduling and coordination of training courses for new cleaners in compliance with NEA guidelines
- Support enhancements to HR systems and payroll administration processes to improve accuracy and efficiency
- Oversee Accounts Receivable and Accounts Payable, including follow-up on outstanding payments to maintain healthy cash flow
- Manage administrative matters such as insurance renewals and vehicle maintenance to ensure operational readiness
- Support periodic contract renewals and fee revisions to maintain up-to-date agreements
- Attend to sales enquiries and coordinate with clients on service-related matters to enhance customer satisfaction
- Monitor customer feedback and support initiatives to improve service quality
- Perform other duties as assigned by the Director to support company objectives
We are looking for
- Proficient in Microsoft Office and payroll/HR systems to manage administrative and payroll tasks efficiently
- Familiarity with Singapore employment regulations and payroll processes
- Effective communication skills in Mandarin to collaborate with Mandarin-speaking counterparts
- Strong organizational, interpersonal, and coordination skills to manage multiple responsibilities independently
