Job Summary
SOVO Alpha, the serviced student apartment brand of SagePaths Group, is seeking a responsible and service-oriented Student Residence Management Specialist to oversee the daily operations of our student accommodation. The role is responsible for ensuring a safe, clean, well-managed and supportive living environment for student residents. The successful candidate will oversee residence operations, student welfare, house rules, staff coordination, safety compliance and administrative matters, while providing a high standard of care and service to students and parents.
Key Responsibilities
1. Residence Operations
- Oversee the daily operations of the student residence, including front desk services, housekeeping, security, maintenance and resident support.
- Ensure all rooms, common areas, study spaces and shared facilities are clean, functional, safe and well maintained.
- Manage student check-in and check-out procedures, room allocation and resident records.
- Coordinate with vendors, contractors and service providers to ensure timely maintenance and operational support.
- Monitor residence occupancy and ensure smooth day-to-day service delivery.
2. Student Welfare and Discipline
- Foster a positive, respectful and inclusive residential community for students.
- Provide pastoral care and daily support to students, particularly those living away from home for the first time.
- Enforce residence rules and regulations fairly, consistently and professionally.
- Address student behaviour, welfare or discipline matters in a timely manner.
- Escalate serious incidents to management, parents, guardians or relevant stakeholders where necessary.
- Support students in developing good living habits, personal responsibility and respect for shared spaces.
3. Staff Supervision
- Supervise residence support staff, including cleaners, maintenance personnel, security staff and other service providers.
- Provide guidance and training to staff to maintain service quality and operational standards.
- Monitor staff performance and ensure duties are carried out effectively.
4. Safety and Compliance
- Ensure compliance with health, safety, fire and emergency procedures.
- Conduct regular checks on residence facilities, security arrangements and emergency equipment.
- Maintain updated student resident records for operational, regulatory and emergency purposes.
- Respond calmly and effectively to emergencies, incidents or urgent maintenance issues.
- Prepare incident reports and follow up on corrective actions where required.
5. Student Engagement and Community Building
- Organise or support student activities that promote wellbeing, social integration and cultural awareness.
- Assist with orientation and onboarding for new residents.
- Create a welcoming and supportive environment that helps students settle into residence life.
- Encourage responsible, respectful and independent living among student residents.
6. Administrative and Financial Duties
- Manage residence-related administrative records, reports and documentation.
- Assist with budgeting, petty cash, procurement and inventory management.
- Coordinate billing, invoicing, deposit refunds and payment matters with the finance department.
- Prepare regular reports on occupancy, maintenance issues, student incidents and operational matters.
- Support management in improving residence procedures, service standards and resident experience.
Requirements
- Prior experience in hostel, dormitory, student accommodation, serviced apartment, hospitality, student care or a related environment is preferred.
- Strong interpersonal and communication skills, with a caring and responsible approach to young people and young adults.
- Good organisational, coordination and problem-solving skills.
- Strong sense of responsibility, service awareness and attention to detail.
- Ability to manage student welfare, discipline and emergency situations calmly and professionally.
- Good team management skills and the ability to supervise operational staff.
- Able to work evenings and weekends.
- Willingness to work from 4:00 pm to 10:30 pm on weekdays, and full day on weekends, with rest days arranged on weekdays.
- Stay-in arrangement is preferred, although stay-out arrangements may also be considered.
- Candidates with experience in student residence management, hospitality operations or youth residential care will have an advantage.
- Bilingual in English and Mandarin Chinese, in order to communicate with overseas students and parents.
Working Arrangement
- Working hours: Weekday evenings and full day on weekends.
- Rest days: Weekdays, based on operational needs.
