Job Summary

Join a consultancy firm serving the Oil & Gas sector as a Receptionist / Front Desk Executive. You will be the first point of contact, ensuring a welcoming office environment while supporting administrative and operational tasks.

Responsibilities

  • Manage reception and front desk operations to create a professional and efficient first impression
  • Greet, assist, and direct visitors, clients, and guests to ensure a positive experience
  • Handle incoming phone calls, emails, and coordinate courier services promptly
  • Coordinate meeting room bookings and prepare facilities to support smooth meetings
  • Monitor and maintain office supplies inventory by liaising with vendors to prevent shortages
  • Arrange travel, accommodation, and visitor logistics to support business needs
  • Provide administrative support for daily office and HR operations as assigned by management
  • Maintain accurate filing systems and document records to ensure easy retrieval and compliance
  • Keep the office environment organized, professional, and presentable at all times
  • Support employees and management with general administrative tasks to enhance office efficiency

Preferred competencies and qualifications

  • Prior experience in reception, customer service, or office administration
  • Proficiency in Mandarin (spoken and written) is an advantage to facilitate communication with Mandarin-speaking clients or visitors
  • Proficient in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint
