Recirculate IT Pte. Ltd. is a Singapore-based IT Asset Disposition (ITAD), refurbishment and technology asset management company. We provide secure IT asset collection, data destruction, refurbishment, remarketing and recycling services to corporate customers.
We are seeking a responsible and detail-oriented Accounts, Compliance & Administration Executive to support the company's finance, compliance, HR and administrative functions. The successful candidate will play a key role in ensuring accurate financial records, regulatory compliance and smooth day-to-day business operations.
Key Responsibilities
Accounts & Finance
• Prepare customer quotations, invoices, debit notes and credit notes
• Maintain Accounts Receivable (AR) and follow up on outstanding customer payments
• Process supplier invoices and maintain Accounts Payable (AP) records
• Perform bank reconciliations and transaction matching in Xero
• Maintain petty cash records and expense claims
• Reconcile customer and supplier statements
• Assist in month-end and year-end account closing activities
• Liaise with external accountants, auditors and service providers when required
Compliance & Export Documentation
• Coordinate with freight forwarders and logistics providers on export shipments
• Follow up on export permits, shipping documents and supporting records
• Maintain proper documentation to support GST zero-rated export transactions
• Ensure company records are maintained in accordance with regulatory and internal requirements
• Support ISO 9001, quality management and compliance documentation
• Maintain organized records for audits and compliance reviews
• Monitor documentation completeness and identify potential compliance gaps
Administration & Operations Support
• Coordinate collection and delivery schedules with customers, suppliers and internal teams
• Maintain customer, supplier and operational records
• Manage document filing and records retention
• Support procurement and operational administration activities
• Coordinate office supplies and general administrative matters
• Assist management with business reporting and ad-hoc administrative tasks
HR & Payroll Administration
• Prepare monthly payroll information and supporting records
• Maintain employee attendance, leave and medical leave records
• Support CPF, payroll and statutory submissions
• Maintain employee personnel files and HR documentation
• Assist with onboarding and offboarding administration
• Coordinate employee insurance, benefits and related records
• Support work pass administration where applicable
Requirements
• Diploma in Accounting, Finance, Business Administration or related discipline
• Minimum 3 years of relevant working experience
• Experience with Xero accounting software preferred
• Familiarity with Accounts Receivable, Accounts Payable and bank reconciliation processes
• Experience handling payroll and HR administration is advantageous
• Experience working in an SME environment preferred
• Familiarity with export documentation, logistics coordination or GST compliance is advantageous
• Proficient in Microsoft Excel, Word and Outlook
• Strong organizational and documentation skills
• High level of accuracy and attention to detail
• Able to work independently with minimal supervision
• Strong follow-up and coordination skills
• Good communication and interpersonal abilities
