Project Manager / Business Development (Retail Visual Display)

Job Summary

We are looking for a highly driven and hands-on Project Manager / Business Development professional to manage client projects from concept to execution while also supporting business growth.

This role requires someone who can confidently manage multiple cross-border retail display projects, coordinate with clients, factories, suppliers, and logistics teams, while also nurturing existing client relationships and identifying new business opportunities.

The ideal candidate is proactive, commercially aware, highly organised, solutions-driven, and comfortable working in a fast-paced environment where deadlines are tight and responsiveness matters.

Key Responsibilities

Project Management & Execution

  • Manage multiple retail visual display, POSM, shop fitting, event, and branding projects from project kickoff through production, shipment, and final delivery
  • Track project timelines, deliverables, approvals, and milestones to ensure projects remain on schedule
  • Coordinate closely with design, production, sourcing, logistics, and external partners to ensure seamless execution
  • Review drawings, technical specifications, materials, and production requirements for feasibility and accuracy
  • Manage sample development, approvals, and revisions with clients and internal teams
  • Proactively identify project risks, delays, and bottlenecks, and implement practical solutions quickly
  • Prepare and provide clear project status updates to management, highlighting risks, timelines, and action plans
  • Arrange meetings, prepare meeting notes, and follow up on action items to ensure accountability
  • Support urgent requests, last-minute changes, and crisis management professionally

Client Servicing / Account Management

  • Serve as the main point of contact for existing clients, maintaining strong and professional working relationships
  • Understand client brand requirements, campaign objectives, and operational expectations
  • Respond promptly to client enquiries, project updates, and operational matters
  • Ensure client expectations are managed clearly throughout project execution
  • Deliver a high standard of service to encourage repeat business and long-term partnerships

Business Development

  • Identify opportunities to grow existing client accounts through upselling and cross-selling relevant solutions
  • Proactively source and pursue new business opportunities to support company growth
  • Attend client meetings, presentations, site visits, and networking opportunities where required
  • Prepare quotations, proposals, project presentations, and commercial submissions
  • Monitor market trends, retail innovations, and competitor activities to identify business opportunities
  • Build and maintain a healthy pipeline of prospective clients and projects

Logistics & Documentation

  • Coordinate shipment arrangements between factories, freight forwarders, logistics providers, and clients
  • Monitor shipment progress and proactively resolve delivery or customs-related issues
  • Prepare and maintain project documentation including:Commercial invoices and packing lists (CIPL)Shipping documentsProject trackersInventory recordsDrawings and technical filesQuotations and client correspondence
  • Ensure all documentation is organised, accurate, and audit-ready

Quality & Operational Support

  • Coordinate quality checks, production inspections, and pre-shipment verification where required
  • Ensure deliverables meet client expectations, technical requirements, and brand standards
  • Support installation planning, deployment coordination, and site readiness where applicable
  • Work closely with suppliers and vendors to maintain quality, reliability, and delivery standards

Requirements

  • Minimum 3–5 years of relevant experience in project management, retail visual merchandising, POSM, shop fitting, exhibitions, branding, or related industries
  • Strong project coordination and execution skills with excellent organisational ability
  • Commercial awareness with confidence in client servicing and business development
  • Professional proficiency in written and spoken English
  • Proficiency in Chinese (written and spoken) to support bilingual communication with suppliers and documentation
  • Strong communication and interpersonal skills
  • Ability to manage multiple deadlines under pressure with a calm and solutions-oriented approach
  • High attention to detail and strong sense of ownership
  • Proficiency in Microsoft Office / Google Workspace, especially Excel
  • Experience handling shipping documentation and international logistics is highly preferred
  • Familiarity with retail display production processes, materials, fabrication, and installation is an advantage
