About Motion Media Works

Motion Media Works is an AV event production company supporting conferences, summits, exhibitions, livestreams, LED walls, hybrid events and corporate productions across Singapore.

We are looking for a reliable, detail-oriented and proactive Operations Executive to support the planning, coordination and execution of daily operations.

This role is ideal for someone who remains calm under pressure, enjoys solving problems, takes ownership of tasks and can adapt quickly in a fast-paced environment. You should enjoy organising schedules, coordinating people and ensuring tasks are completed accurately and on time.

Strong communication and interpersonal skills are essential, as you will work closely with technicians, drivers, operational crew and internal teams on a daily basis. This role requires regular coordination with technicians, drivers, warehouse personnel and operational crew. The ability to build positive working relationships while ensuring tasks are completed effectively is critical to success in this role.

You will work closely with management, technicians, drivers, full-time and part-time AV crew to ensure operations run smoothly and jobs are executed successfully.

Key Responsibilities

Operations & Crew Coordination

  • Act as the liaison between management and operational teams, ensuring instructions, tasks and operational requirements are communicated clearly and completed on time

  • Coordinate daily manpower deployment and crew schedules

  • Follow up with technicians, drivers and AV crew to ensure assigned tasks are completed accurately and efficiently

  • Monitor progress of operational activities and provide updates to management

  • Escalate issues, delays or operational risks promptly when required

  • Assist in resolving last-minute operational changes, manpower shortages and scheduling conflicts

  • Ensure operational instructions and company procedures are properly followed

Event & Logistics Coordination

  • Support planning and coordination of deliveries, collections, setup and teardown activities

  • Prepare operational checklists, job briefings and deployment information

  • Track job progress and setup status to ensure smooth execution

  • Work closely with customer service, operations and technical teams to coordinate operational requirements

Warehouse & Equipment Operations

  • Coordinate warehouse activities to ensure equipment readiness for upcoming jobs

  • Ensure equipment is properly checked, tested, packed and returned according to company procedures

  • Follow up on inventory, maintenance, housekeeping and equipment-related tasks

  • Ensure equipment movement and inventory records are updated accurately

  • Report damaged, faulty or missing equipment for follow-up and resolution

Client & Internal Communication

  • Communicate professionally with customers and internal teams via WhatsApp, email and phone calls when required

  • Clarify operational requirements and event details with customers and internal stakeholders

  • Support customer updates before and during events when required

Administration & Systems

  • Update and maintain operational information in company systems

  • Maintain organised records of event and operational information

  • Assist management in maintaining operational discipline and process compliance

Requirements

  • 1–3 years of working experience preferred

  • Experience in operations, logistics, events, hospitality, coordination or related fields is an advantage

  • Strong organisational and communication skills

  • Able to manage multiple tasks and priorities effectively

  • Comfortable coordinating technicians, drivers, warehouse personnel and part-time crew

  • Comfortable using Google Workspace and basic computer applications

Work Environment & Location

- This role is primarily based at our warehouse office in Kallang

  • You will work closely with technicians, drivers, warehouse personnel, interns and part-time crew

  • The role involves regular coordination with operational teams to ensure tasks and operational requirements are completed effectively
    - While primarily office-based, you will be expected to interact regularly with warehouse operations and operational teams throughout the day
    - Occasional on-site support may be required during events or operational requirements

Working Hours

- Monday to Friday: 1:00 PM – 9:30 PM (inclusive of 1-hour dinner break, typically between 5:00 PM and 6:00 PM)
- Saturday or Sunday: 2:00 PM – 8:30 PM
- One weekend day will be scheduled as a working day, while the other will be a rest day, based on operational requirements

  • Additional hours may occasionally be required during major events or peak operational periods
