Role Overview
Responsible for executing day-to-day HR processes and ensuring accuracy across employee lifecycle activities. Supports HR operations, data administration, and compliance with internal policies and local labor laws. Plays a key role in maintaining HR systems, preparing payroll input data, and coordinating with cross-functional teams. Ensures smooth employee experiences by managing documentation, responding to HR-related queries, and supporting operational excellence across the organization.
Key Responsibilities
- Manage the end-to-end employee lifecycle, including onboarding, offboarding, employment changes, transfers, contract renewals and terminations
- Prepare, administer, and maintain employment contracts, contract amendments, certificates, and other employment-related documentation.
- Coordinate and manage relationships with Employer of Record (EOR) providers and support workforce administration across multiple jurisdictions.
- Ensure accurate maintenance of employee and contractor records within HR systems and personnel files in accordance with legal and internal requirements.
- Support compliance with Polish labour law, employment regulations, GDPR requirements, and internal company policies.
- Support global mobility activities, including relocation coordination, work permit applications, visa processes, renewals, and immigration-related administration.
- Respond to employee and manager queries relating to employment documentation, leave administration, policies, and operational processes.
- Oversee time and attendance administration, ensuring accurate records, timely approvals, and integration with payroll processes where applicable.
- Serve as the primary point of contact for People Operations matters in Poland and support international workforce administration as required.
Required Experience
- 3 - 4 years of experience in People Operations, HR Administration, or similar HR support roles.
- Experience supporting the administration of employment contracts, contract amendments, and employee lifecycle documentation.
- Good understanding of Polish labour law and HR compliance requirements.
- Experience working in an international or multinational environment.
- Familiarity with HRIS platforms such as HiBob, Workday, or similar systems.
- Strong organisational skills, attention to detail, and commitment to data accuracy.
- Good communication and stakeholder management skills.
- Professional fluency in both Polish and English, both written and spoken.
Preferred Qualifications
- Experience supporting employees and contractors across multiple countries.
- Experience participating in HR process improvement, digitalisation, or automation initiatives.
- Knowledge of employment administration and compliance requirements in jurisdictions outside Poland.
- Experience in coordination of EOR arrangements.
