Job Title: Operations & Logistics Assistant
Location: San Francisco, CA (In-Office, 5 days/week)
Hours: Full-time, Monday–Friday, 9:00 AM – 5:00 PM

About the Role

You're the backbone of our operations. We're not looking for someone to just process orders—we need a sharp, proactive Operations & Logistics Assistant who owns every shipment, masters our systems, and keeps our entire operation humming.

This is a hands-on role where you'll directly impact how fast we scale, how reliably our customers receive products, and how efficiently our teams operate. You'll get real autonomy, tackle genuine challenges, and see the immediate results of your work. If you're someone who takes pride in getting things right and thrives when you can actually see the impact you're making, this is your role.

Key Responsibilities

Inventory & Order Management

  • Own our inventory accuracy using Zoho Inventory—becoming the go-to expert on stock levels and fulfillment workflows

  • Process orders from start to finish, managing documentation and tracking with precision

  • Maintain records that are clean, organized, and instantly accessible

Shipping & Logistics

  • Master Webship and other logistics platforms to execute flawless outbound shipments

  • Coordinate customer deliveries and internal equipment logistics with tactical precision

  • Stay ahead of potential issues—proactively track shipments and resolve problems before they cascade

  • Set the standard for packaging, labeling, and documentation across the operation

Hardware Preparation & Configuration

  • Flash and configure smart camera devices, bringing hardware to life with internal software

  • Execute technical protocols that get devices deployment-ready—no room for error

  • Jump into troubleshooting with our technical team when issues come up

Team Coordination & Communication

  • Be the real-time nerve center of logistics—keeping teams instantly updated via Slack and Zoho

  • Build strong relationships across teams by being the person they can count on for clarity and speed

  • Ensure critical handoffs happen seamlessly and on time

Qualifications

  • 1–3+ years crushing it in operations, logistics, warehouse coordination, or related roles

  • Obsessive attention to detail—you catch what others miss

  • Hands-on experience with inventory and shipping platforms (Zoho, Webship, or similar); eager to master new tools

  • Self-reliant problem-solver who can follow structure and think on your feet

  • Excellent communicator who thrives in fast-moving, collaborative environments

  • Comfortable with light technical workflows (you don't need to be a software engineer)

  • Able to safely lift and move equipment as needed

Nice to Have

  • Experience in hardware or electronics operations

  • Startup or high-growth environment background—you know how to move fast without breaking things

  • Proven ability to juggle internal and customer-facing logistics seamlessly

What We're Looking For

  • Dependable & proactive: You don't wait to be told what to do; you see what needs doing and do it

  • Detail obsessed: You know that small mistakes create big problems—not on your watch

  • Hybrid doer: You're equally comfortable optimizing spreadsheets and physically preparing shipments

  • Clear communicator: You keep everyone in the loop and your team knows where things stand at all times

  • Someone who cares: You take ownership and want to see your work succeed

Why This Matters

You're not just processing inventory—you're the engine that gets our products into customers' hands reliably and on time. You're the reason our internal teams have the equipment they need to do great work. As we scale, your operational excellence becomes the foundation everything else builds on. You'll own real responsibility, see tangible impact, and be genuinely valued for keeping us running smoothly.
